Wedding Planning Checklist – All the to-dos before the I-dos

Congratulations! You’re engaged, but now what?! Before you get flooded with tons of ideas and advice from fellow friends and relatives, here is your wedding planning checklist to make the entire wedding planning process a little less overwhelming and a whole lot easier.

Instead of diving in head on, divide the planning into weeks and months. Get a little done every day and check it off your wedding planning checklist as you go.

1 Month

  • Pick a wedding date and the season you would like to get married in.
  • Budget planning: It’s hard to make decisions if you haven’t decided on how much money you are willing to spend on your wedding. Decide on a budget to know how much you are spending and on what.
  • Series of events: The great Indian wedding comprises of small events that lead up to the big day. Do you wish to have a haldi, mehendi and sangeet in addition to the wedding and reception? In total how many days would it contribute to? Schedule them accordingly.
  • Guest list: People make up the entire wedding. Start planning on who you would like to invite and note them down on a spreadsheet. You can use the following heading items for your spreadsheet, which accounts for all the details related to your guests: Guest Family, Number of people invited, Address, Email Address, Phone Number, Events invited for, Out of town? Save-the-Date sent? Invitation Sent?
  • Hire a wedding planner. So many things to do and so many important tasks at hand. Hiring a wedding planner allows them to be one point of contact for all things wedding.
  • Venue: Once you have decided on your wedding date, start looking for a venue for all of your wedding events. Booking the right venue takes up nearly half the amount on your budget. Schedule appointments to go visit the selected venues and start shortlisting. Find out the venue requirements and policies for lighting candles, havan rituals/ fire, alcohol, parking, vendor and event insurance, cancellation or postponing the event.
  • Start a wedding folder, binder and/ or a diary to keep everything wedding related in one place

Week 2

  • Pick a theme or a certain color scheme for all your wedding event parties. Look through magazines, wedding planning blogs, even talking to your friends and family who recently planned their wedding.
  • Send out Save-the-Dates: Once the guestlist is finalized, send out your Save-the-Dates.
  • Finalize the Venue: By this time, you should have selected your venue. Sign the contract and make the deposits.

 

7 to 8 Months

  • Start researching caterers: Put a little thought into your wedding menu. Are you thinking live stations, ice sculptures, chocolate fountain, fondue, specialty appetizers and drinks or simple buffet? Get per person estimates when you go for the tasting. You might also want to talk to your caterer about drink packages.
  • Start researching event decorator/ Florists: Based on your theme, ideas and colors, start thinking of decor ideas, flower arrangements, special lighting and backdrops. Get estimates for everything.
  • Start researching photographers and videographers: Good photographers are often booked months in advance. Schedule meetings to book your photographer.
  • Start Researching DJs: Do your homework to find a good DJ. Also, ask the DJ if he can provide dhol/ entertainment/ music for the Baraat. It is best to select a DJ based on a performance that you have seen.
  • Start Researching Event Rentals: Book your tables, chairs, linen, tents etc.
  • Pick out your invitations: Start looking at different Invitation styles and designs to look for the perfect invitation. Once you have a winner, finalize the invitation text and order the invitations as it takes a couple weeks for the order to be processed and shipped. You want the invitations at least 4-5 months before the wedding, so that you have enough time to address them.

6 to 7 Months

  • Finalize and book your caterer, event decorator/ florist, photographer, videographer, dj, event rentals.
  • Book your priest and pandit.
  • Arrange for transportation.
  • Begin planning your wedding looks, what you would like to wear for each event.

4 to 5 Months

  • Select your mehendi, hair and makeup artist: Make sure you have makeup and hair trials, before you select the vendor. Interview them to make sure that they can arrange transportation to come to where you are. Also, you might want to bring pictures and discuss with them the way you want your mehendi, make up, hair, and dupatta arranged.
  • Select wedding outfits and begin packing your trousseau.
  • Block hotel rooms for out of town guests
  • Honeymoon suite: book accommodations for your wedding night.
  • Finalize your food menu with your caterer.
  • Finalize on your décor arrangements.

3 to 4 Months

  • Get your invitations.
  • Start looking for wedding favors.
  • Prepare wedding ceremony and research on marriage license requirements.

2 Months

  • Send out your invitations.
  • Touch base with all your vendors.
  • Plan your bachelorette/ bachelor parties.
  • Get in touch with family members and friends who are a part of the sangeet and other functions and assign roles to them, begin rehearsals.

1 Month

  • Get fitted into your wedding attire. For any final changes and edits.
  • Confirm times for all of the vendors, and send out your day-of timeline again.
  • Make sure members of the wedding party know their roles and duties come the wedding day.

Wedding week

  • Touch base with all vendors and ensure they have the day-of timeline.
  • Outsource any small day-of tasks you can to family and friends.
  • Ensure everyone in your wedding party has your wedding day timeline.
  • De-stress at the spa!
  • Pack for your wedding night and honeymoon!

Once you are done checking off every last item on your wedding planning checklist, you can take a breather before the main event begins!
